FlowShare provides the flexibility to work on your local device, making it a great option for teams focused on data security and reducing reliance on external services. Here’s what you need to know about how FlowShare operates:

Key benefits of FlowShare's local usage

  1. Local installation
    FlowShare is installed directly on your computer, so everything is processed and saved locally. There’s no reliance on cloud storage unless you choose to enable specific integrations.

  2. Keeps your data safe
    All your data stays on your device, ensuring compliance with strict privacy standards like GDPR. Sensitive information doesn’t leave your control unless you explicitly integrate with an external platform.

  3. Works with restricted Internet connection
    Single FlowShare license keys can operate even offline, capturing your work and creating documentation directly on your computer. This makes it ideal for environments with limited or no internet connectivity.

Configuration for higher data security

For customers needing maximum data security, FlowShare offers a configuration option with the following setup:

  • All AI related functionalities and the Portal access are deactivated.

  • Only the necessary information for license verification is sent externally.

    • Single licenses: License keys are managed via the provider wyday in the U.S.

    • Enterprise customers: Use a dedicated floating license server hosted in Germany or the U.S.

  • Documentation (text and screenshots) is handled entirely locally unless a platform integration is explicitly set up.

Unavailable features with a restricted configuration

When using FlowShare with a special configuration, certain features are restricted to maintain high level of data security:

    • Although the restricted configuration does not support this feature, it will still provide you with a short text description since our tracking engine runs locally.

    • This optional add-on can be purchased separately. While it is not available in the restricted version, you can still translate steps outside of FlowShare and manually paste them back for export in a different language. This can be done without purchasing the add-on.

    • You cannot upload, share or embed flows via the Portal. However, you can export your flows locally in various formats (PDF, PPTX, HTML, etc.) and share them as needed.

    • The AI bot, hosted on the FlowShare Portal, won’t be accessible to answer user questions or process flows.

The restricted configuration ensures all your data is managed locally, offering a secure tool for your documentation needs. Teams can still export professional-quality guides in various formats while maintaining full control over their data.
