We’re introducing Online Licensing - a more flexible and secure way for companies to manage FlowShare. By moving away from manual keys and integrating with your existing infrastructure, we’ve made it easier than ever to keep your team up and running.
Why switch?
Transitioning to our online model simplifies the experience for both administrators and end-users:
No More License Keys: Forget the hassle of distributing and tracking individual strings of code.
Microsoft Login: App users simply log in to the FlowShare app using their Microsoft account - fast, familiar, and secure.
Centralized License Management: Admins can assign and revoke licenses directly in the FlowShare Portal, based on how many licenses your company has purchased.
Flexible Access: Users can log in with the same Microsoft account on both home and work machines without needing a second key.
For Admins: How to activate?
The transition starts in the FlowShare Portal. Follow these steps to migrate your organization:
Sign In: Log in to the FlowShare Portal using your Microsoft account.
Read about the switch: Visit the Online licensing and know more about it.
Enable: Select the option to enable online licensing for your company.
Sync: Within one business day, we contact you and we will activate the option for your account.
Transition: Your users can then begin logging in via Microsoft. Your legacy license keys will be deactivated a few days after the switch to ensure no one loses access during the move.

For Admins: How to manage licenses?
In the Manage Member page, administrators can control seat distribution through a centralized table. The App column displays the current status of each user’s access.
To Enable: Click the three-dot context menu next to a user and select "Enable app license".
To Disable: Select "Disable app license" to instantly revoke access and free up a seat.
Users will receive an automated email notification whenever a license is assigned to or revoked from their account to keep them informed of their access status.
Key Features:
Capacity control: You can assign licenses up to the total number of seats purchased for your organization.
Seamless reassignment: If an employee leaves or switches roles, you can immediately reassign their license to a new team member.
Usage Monitoring: We monitor the frequency of reassignments to ensure secure and fair usage of your plan.
Note: License management is not handled through your own Microsoft Entra ID (formerly Azure AD) configuration. All license assignments and removals must be managed directly within the FlowShare Portal.
For End Users: How to log in?
Once your Admin has enabled Online Licensing, you no longer need to search through your emails for a license key.
Open FlowShare: Launch the application on your machine.
Go to Settings - Licensing: Select the Online license option.
Choose Microsoft Login: When prompted for a license, select the "Sign in with Microsoft" option.
Verify: Enter your standard work credentials.
Get Started: You’re all set! Your license will follow you even if you switch devices, as long as you use your Microsoft login.
